Purpose: to oversee and direct the efforts of the organization Specifically: set long term strategies and goals monitor the work of sub-committees to ensure they are working toward the organization's goals ensure fiscal responsibility of the Council and the subcommittees approve the plans and recommendations of the subcommittees identify areas in need of new or increased safety efforts identify where efforts are unproductive and should be stopped set up subcommittees and identify or approve co-chairs provide feedback and guidance to subcommittees Norms: Meetings are held monthly on the fourth Thursday of the month unless otherwise scheduled by agreement. Meetings start promptly at 9:00 a.m. and finish at 11:00 a.m. unless there is a consensus or previous agreement to meet longer. Decisions will be by consensus. Members are expected to regularly attend board meetings. Committee chairs are expected to attend board meetings and present a status report. Where this is not possible, a delegate should be sent. Committee and other reports should be provided to the LSCC Coordinator in Word format where possible. An agenda will be prepared for each meeting and distributed with the minutes of the previous meeting two weeks prior to the meeting. Members are expected to review the minutes prior to the meeting and prepare appropriately for the meeting so decisions can be made quickly and efficiently. Sub-Committees: Purpose: Sub-committees or ‘working’ committees are formed to plan, organize and conduct the work of the Safe Community Council. Specifically: plan, organize and conduct injury prevention activities prepare a budget report committee status at the board meetings measure the success of the injury-prevention activities conducted recommend to the board new activities to be conducted prepare a project report for the board at the culmination of each major activity.The report should identify the purpose of the project, what was done, and included success measures and recommendations for future. recruit members as needed to ensure there is an adequate number of members to conduct the work and that there is adequate representation from affected groups and people or groups with the needed expertise. Sub-committee Norms: sub-committees will have two co-chairs meetings are held on a regular basis decisions will be by consensus minutes will be recorded for all meetings and submitted to the LSCC Coordinator Committee Chair Terms of Office: term of office for committee chairs should be a minimum of two years and a maximum of three years co-chairs should alternate such that one chair is in their second year and the other is in their first year
